The 5 Minute Dental Practice Check

One leak, and how to measure it yourself before you talk to anyone.

The leak

Most practices are not short of patients. They are short of the patients they already have.

The recall list is the quietest problem in dentistry. Someone is due, they were perfectly happy last time, and the practice sent one message that arrived on a bad day. Nobody followed up, because following up is somebody's job on top of their actual job.

The second half of it happens after five o'clock. A new patient decides tonight that they will finally sort out the thing that has been bothering them, calls, and reaches a voicemail. They call the next practice.

Neither of those is a marketing failure. Both are what happens when following up depends on someone remembering.

The test. Five minutes, do it now.

1

Pull six months of overdue recalls. List the patients who were due in the last six months and have not been in. Count how many were contacted more than once. Once is not a follow up.

2

Call your own practice after hours. Ring your own number at eight in the evening as a new patient would, and listen to exactly what they hear. Then check whether they could have booked online instead.

3

Count what a returning patient is worth. Take the value of a routine hygiene appointment, and note what proportion of those visits lead to further treatment being booked.

What fixing it looks like

Recall sequences that try more than once, across more than one channel, without anyone having to remember. Missed calls answered by text within seconds. Online booking that works at eight in the evening. And review requests that go out while the appointment is still fresh.

This is practice marketing and nothing more. No patient records are touched and no clinical claim is made anywhere in it.

What does that, in our platform

  • Automated follow-up sequences Pro Recalls are chased more than once, without it being anyone's job to remember.
  • Online booking calendar Starter A new patient can book at eight in the evening.
  • Missed-call text-back Starter A missed call after hours gets a text back within seconds.
  • Review and reputation automation Pro Review requests go out while the appointment is still recent.

What it would have to be worth

We are not going to guess what the gap is costing you. Here is the other question instead: what would this have to bring back before it paid for itself. Put your own figure in and the sum happens in your browser.

At that value, the platform pays for itself once it brings back:

  • Starter $397 a month ? patients a month
  • Pro $797 a month ? patients a month
  • Enterprise $1,497 a month ? patients a month

Disclaimer: our prices are the published ones and the value is yours. Figures round up, because you cannot bring back part of a job.

If your numbers came out big

Fifteen minutes, screen share, no pitch. We go through the tests you just ran and show you where the gap is. If it is not worth fixing we will say so on the call.
